Group Maintenance Assistant Manager - Administrative Affairs Department
Job Summary:
The Group Maintenance Assistant Manager for the Administrative Department is responsible for overseeing the maintenance, repair, and overall upkeep of office facilities, equipment, and infrastructure. This role ensures a safe, functional, and efficient work environment while coordinating with vendors, staff, and management to address maintenance needs promptly. Additionally, the Maintenance Manager will be responsible for restructuring existing buildings and setting up new locations to support business expansion and operational efficiency.
Key Responsibilities:

Facility Maintenance:

Oversee the upkeep of office buildings, HVAC systems, electrical, plumbing, and general infrastructure.

Ensure routine maintenance schedules are followed and emergency repairs are handled efficiently.

Conduct regular inspections to identify maintenance issues and implement preventive measures.

Building Restructuring & Expansion Projects:
-
Plan and oversee restructuring projects to improve office layouts, space utilization, and efficiency.

Lead the setup of new office locations, ensuring timely execution and compliance with company standards.

Coordinate with architects, engineers, and contractors to implement construction or renovation projects.

Ensure new locations meet safety regulations, functionality requirements, and aesthetic standards.

Equipment & Asset Management:
-
Maintain office equipment such as printers, air conditioning units, security systems, and lighting.

Coordinate repair and servicing of office assets to minimize downtime.

Keep records of maintenance activities and ensure compliance with safety regulations.

Vendor & Contractor Coordination:
-
Liaise with external service providers, contractors, and suppliers for maintenance and construction work.

Obtain and review contracts, ensuring cost-effectiveness and quality service.

Monitor vendor performance and ensure timely service delivery.

Safety & Compliance:
-
Ensure adherence to workplace safety regulations and building codes.
-
Implement health and safety protocols, including fire safety and emergency preparedness plans.

Conduct risk assessments and recommend improvements to enhance workplace safety.

Budgeting & Cost Control:
-
Develop and manage the maintenance and project budgets for the administrative department.
-
Monitor expenses and implement cost-saving initiatives while ensuring quality maintenance services.

Approve maintenance and construction-related expenditures and ensure proper documentation.

Team Management & Training:
-
Supervise and guide maintenance staff or outsourced workers.
-
Provide training on maintenance best practices and safety protocols.
-
Ensure a well-organized and responsive maintenance team.

Qualifications & Requirements:
-
Bachelor’s degree or diploma in Facility Management, Engineering, Construction Management, or a related field.
-
More then 7 years experience in facility maintenance, building restructuring, or office setup projects.

Strong knowledge of building systems (HVAC, electrical, plumbing, security) and construction management.
-
Familiarity with health, safety, and environmental regulations.
-
Excellent project management, problem-solving, and leadership skills.
-
Ability to manage budgets, negotiate contracts, and coordinate with multiple stakeholders.

Strong communication skills to collaborate with different departments, contractors, and external providers.
